# Buying checklist for AI presentation tools

Not sorted by what a tool can do in a demo, but by where rolling it out at a company
usually falls apart.

Tool: ______________________ Vendor: ______________ Date: __________

---

## 1. Export and editability

- [ ] Can you export to an editable PPTX, with real text boxes, not flattened images of each slide?
- [ ] Is there a direct export to Google Slides (or Keynote), and does the layout survive it?
- [ ] Do charts and tables stay editable after export, with the underlying data, or do they turn into pictures?
- [ ] Are speaker notes generated, and are they kept in the exported file?
- [ ] Can you export to PDF without a watermark on the plan you are buying?

## 2. Brand templates and fonts

- [ ] Can you upload your own PowerPoint template or master slides, and does the tool actually use their layouts?
- [ ] Are your brand colors, logo and fonts applied consistently, including on AI-generated slides?
- [ ] Are custom fonts embedded or substituted on export? What does a colleague without the font see?
- [ ] Can admins lock the brand template so team members can't drift from it?

## 3. Collaboration, admin and security

- [ ] Can several people edit the same deck, with comments and version history?
- [ ] Is there single sign-on (SSO) and, ideally, automated user provisioning (SCIM)?
- [ ] Can admins manage seats, roles and sharing settings centrally, and remove access when someone leaves?
- [ ] Are public share links controllable (expiry, password, disabling them for the whole workspace)?
- [ ] Is there an independent certification (ISO 27001, SOC 2), with scope and date?

## 4. Privacy and contract

- [ ] Is a data processing agreement (DPA) available, and on which plan?
- [ ] Is the server location stated, including where AI generation runs?
- [ ] Are uploaded decks, documents and brand assets excluded from training, by default or only after opt-out?
- [ ] Who is the contracting party, which law applies, and is an EU representative named (Art. 27 GDPR) for vendors outside the EU?

## 5. Pricing, credits and licensing

- [ ] How is usage billed: per seat, per credit, per generated deck? What happens when credits run out?
- [ ] Which features (PPTX export, brand kits, SSO) are locked behind higher plans?
- [ ] Can you get a proper company invoice with VAT or sales tax shown, and pay by invoice instead of credit card?
- [ ] Notice period and term: monthly, annual, automatic renewal? Is the price fixed for the term?
- [ ] Who owns the generated slides, and what license covers AI-generated or stock images? Can you use them commercially and in client work?

## 6. Accessibility

- [ ] Does the tool add alt text to images and charts, and can you edit it?
- [ ] Is the reading order of exported slides correct for screen readers?
- [ ] Do default themes meet contrast requirements, and can you check contrast in the tool?

## 7. Exit

- [ ] Can you export all your decks in bulk, in an editable format, not one by one?
- [ ] Can you export your templates and brand assets back out?
- [ ] What happens to your files after the contract ends, and when exactly are they deleted?
- [ ] How much work would a switch to another tool be in two years?

---

## The three points where it usually gets stuck

1. **Export.** A deck that only looks good inside the tool, or arrives in PowerPoint as
flattened images, is a dead end the moment a client or colleague needs to edit it.
2. **The brand template.** Many tools generate attractive slides in their own style but
ignore your master slides and fonts.
3. **The exit.** Nobody thinks about it when buying, and two years later it blocks the
switch, when hundreds of decks live in a proprietary format.

## Result

- Open points: ______________________________________________
- Decision: [ ] approved [ ] approved with conditions [ ] rejected
- Owner: ______________ Review again on: __________
